Contract Administrator

We are seeking a Contract Administrator to join our team in St Peters. This role is suited to a highly organised professional with a proven track record in construction contracts administration who thrives in a quality focused, design-driven environment

Reporting to our Project Manager(s), you will be responsible for managing all aspects of contract administration across our pipeline of high-end residential and commercial projects, ensuring seamless delivery from procurement through to practical completion

Key Responsibilities

Contract & Commercial Management

  • Administer construction contracts (BC3/4, ABIC, AS2124, AS4000) including variations, EOTs, and claims
  • Manage and negotiate subcontractor and supplier agreements, ensuring alignment with head contract terms
  • Prepare, review, and issue purchase orders, trade contracts, and supplier agreements
  • Monitor contract compliance and advise on contractual risks and obligations
  • Coordinate contract close-out documentation and final account settlements

Financial & Cost Management

  • Oversee progress claims (both internal and subcontractor), payment certificates, and cash flow forecasting
  • Maintain cost control through committed vs budget reporting and variance analysis
  • Prepare and assess variations, including pricing, documentation, and client approvals
  • Support commercial reporting to the Director and Project Managers
  • Manage retention schedules, defects liability periods, and security releases

Procurement & Document Control

  • Lead procurement activities: RFQs, quote comparisons, subcontractor prequalification, and levelling
  • Maintain comprehensive document control systems including transmittals, registers, and correspondence logs
  • Coordinate consultant responses, RFIs, site instructions, and addenda tracking
  • Ensure all project documentation is current, compliant, and accessible to site and head office teams
  • Manage insurance certificates, statutory declarations, warranties, and compliance documentation

Coordination & Communication

  • Support site teams with contractual advice, commercial direction, and documentation
  • Coordinate with estimating team to ensure smooth handover from tender to delivery
  • Maintain professional relationships with clients, consultants, and trade partners
  • Attend site meetings and provide commercial input as required

    Construction Cadet

    We are seeking a Construction Cadet to join our team in St Peters. This role is suited to a motivated junior who is currently studying Construction Management, Quantity Surveying, Building, or a related discipline at University or TAFE and wants real exposure across both estimating (pre-construction) and contracts administration (delivery).

    You will work directly with our Estimator and Contracts Administration team to support tendering, procurement, document control, and cost tracking across a pipeline of high-quality projects.

    Key Responsibilities

    Estimating / Pre-Construction Support

    • Assist with quantity take-offs and measurement (under supervision)
    • Help prepare BOQs, marked-up drawings, and tender schedules
    • Issue and manage RFQs (scope sheets, tender return forms, follow-ups)
    • Compile quote comparisons and support subcontractor levelling
    • Maintain drawing registers, addenda tracking, and tender documentation

    Contracts Administration Support

    • Assist with procurement admin: purchase orders, subcontractor documentation, and tracking of approvals
    • Support progress claim administration and basic cost reporting (committed vs budget)
    • Maintain document control: transmittals, registers, filing, and correspondence
    • Assist with variation registers and supporting backup documentation
    • Coordinate with site teams and suppliers to keep information flowing

    About You

    • Currently studying Construction Management, Quantity Surveying, Building, or similar (Uni/TAFE)
    • Strong attention to detail and willingness to learn structured processes
    • Confident with Excel and general computer literacy (templates, file management, formatting)
    • Clear written and verbal communication and a professional approach with consultants and subcontractors
    • Organised and reliable, able to manage multiple tasks and deadlines
    • Exposure to Cubit/Bluebeam/BuildPass (or similar) is beneficial, but not required
