We are seeking a Contract Administrator to join our team in St Peters. This role is suited to a highly organised professional with a proven track record in construction contracts administration who thrives in a quality focused, design-driven environment
Reporting to our Project Manager(s), you will be responsible for managing all aspects of contract administration across our pipeline of high-end residential and commercial projects, ensuring seamless delivery from procurement through to practical completion
Key Responsibilities
Contract & Commercial Management
- Administer construction contracts (BC3/4, ABIC, AS2124, AS4000) including variations, EOTs, and claims
- Manage and negotiate subcontractor and supplier agreements, ensuring alignment with head contract terms
- Prepare, review, and issue purchase orders, trade contracts, and supplier agreements
- Monitor contract compliance and advise on contractual risks and obligations
- Coordinate contract close-out documentation and final account settlements
Financial & Cost Management
- Oversee progress claims (both internal and subcontractor), payment certificates, and cash flow forecasting
- Maintain cost control through committed vs budget reporting and variance analysis
- Prepare and assess variations, including pricing, documentation, and client approvals
- Support commercial reporting to the Director and Project Managers
- Manage retention schedules, defects liability periods, and security releases
Procurement & Document Control
- Lead procurement activities: RFQs, quote comparisons, subcontractor prequalification, and levelling
- Maintain comprehensive document control systems including transmittals, registers, and correspondence logs
- Coordinate consultant responses, RFIs, site instructions, and addenda tracking
- Ensure all project documentation is current, compliant, and accessible to site and head office teams
- Manage insurance certificates, statutory declarations, warranties, and compliance documentation
Coordination & Communication
- Support site teams with contractual advice, commercial direction, and documentation
- Coordinate with estimating team to ensure smooth handover from tender to delivery
- Maintain professional relationships with clients, consultants, and trade partners
- Attend site meetings and provide commercial input as required
